The primary responsibility of this position is to utilize excellent customer services skills, while answering department phones, to provide customers and partners with requested information and assistance. Secondary duties include, but are not limited to, providing administrative support to the Business Operations unit of the Health Department and assisting other department units or programs as directed. This includes assistance with accounts payable and accounts receivable processing, meeting minutes, and other duties as directed.

Responds to inquiries by answering routine questions related to unit functions and procedures and refers more complex queries to the appropriate person, division, or department;

Answers single- or multi-line phones, routes calls, and relays messages;

Schedules and confirms appointments by phone, mail, or in person;

Types correspondence, memoranda, and other materials;

Enters data into computers, updates computer records, and proofreads printouts for obvious errors;

Compares entries against source documents and corrects errors;

Indexes, classifies, codes, and files various records, charts, reports, and documents and performs routine file maintenance;

Locates and retrieves files or documents as required;

Copies, collates, and distributes reports and documents to appropriate parties or files;

Stamps, sorts, and distributes incoming mail and prepares materials for outgoing mail;

Performs courier duties;

Types documents such as reports, applications, purchase orders, departmental forms, correspondence, and memoranda;

May receives mailed and over-the-counter payments, issues receipts, and verifies daily cash intake with receipts.
Minimum Qualifications:
One (1) year of experience performing secretarial or administrative tasks providing support to a department, specialized program, or small business.
(Relevant experience and/or education from an accredited college or university may be substituted.)
