JOB GOAL:
To ensure the smooth and efficient operation of the Child Nutrition Office in order to provide effective support for all staff. Provides exceptional support and service to assigned functions through all mediums, including correspondence, presentations, manuals, newsletters, meetings, company activities, etc. Generally provides support to Director level.
QUALIFICATIONS:
- HS diploma required; BA preferred.
- Food Manager's Certificate preferred.
- Minimum of five years' experience in the field or related area. School Child Nutrition knowledge preferred.
- Knowledge of HACCP and workplace safety requirements.
- Knowledge of National School Lunch and Breakfast Program regulations.
- Thorough knowledge of basic bookkeeping and Microsoft Office applications.
- Strong computer skills—proficient in Microsoft Word, Excel, PowerPoint, database software, and the Internet, including email. Knowledge of FedEx and UPS online software is a plus.
- Must be familiar with general office equipment.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills—able to communicate effectively with all levels within and outside the organization. Confidentiality is a must.
- Team player attitude.
- Ability to organize and direct the work of others.
- Excellent organizational skills; ability to prioritize multiple tasks and special projects.
- Self-directed, able to maintain productivity with minimal supervision.
- Ability to improve office procedures as appropriate.
- Knowledge of and adherence to all policies, regulations, and rules.
- Valid AZ DPS IVP Fingerprint Clearance Card.
- Ability to pass a background check.
- Ability to stand for four hours (aligned with CN assistance for coverage).
TERM OF EMPLOYMENT: 228 days; 11 months
COMPENSATION: Per QCUSD salary schedule for applicable position
BENEFITS: As per QCUSD District policy
REPORTS TO: Director of Child Nutrition
HOURS: 40 hours per week - Monday-Friday 7 a.m.-3:30 p.m.
CLASSIFICATION: Hourly, non-exempt
PERFORMANCE RESPONSIBILITIES:
Responsibilities include, but are not limited to, the following:
- Perform a variety of secretarial and clerical duties, including bookkeeping, filing, typing, correspondence, memoranda, notices, reports, and other written materials.
- Organize, prioritize, and meet deadlines with attention to detail while working with frequent interruptions and minimal supervision.
- Utilize the state networked accounting program (Infinite Visions), create purchase requisitions using the correct budget codes, and follow state procurement rules: obtain quotes, bids, and contract pricing for supplies or equipment.
- Verify purchase orders and invoices, ensuring deliveries are accurate and in good order.
- Create, submit, and process payment for Child Nutrition invoices.
- Prepare materials for special events.
- Maintain files for all department purchases, reports, and inventory for capital assets.
- Process Free & Reduced Meal Applications from the Arizona Department of Education.
- Maintain informative and supportive relationships with Food & Nutrition Site Managers, staff, and administrators regarding student accounts & POS.
- Keep daily records of all monies from each site and work with finance as needed to reconcile all bank statements.
- Seek out opportunities to provide additional assistance and assume cross-functional duties as necessary.
- Handle internal and external correspondence for the department.
- Manage and organize the appointment calendar and schedule meetings.
- Coordinate travel plans, itineraries, and details of meetings/conferences; maintain the Director's daily calendar.
- Schedule interviews for new hires in the department and process ePARs.
- Submit and track all rebates/incentives from manufacturers.
- Perform all duties in a safe and prudent manner as directed.
- Perform other duties as assigned.
