Job Description

JOB SUMMARY
Track and process all court appointments that come into the office, consisting of all felonies, misdemeanors, and mental health cases.
 

 

TYPICAL CLASSIFICATION ESSENTIAL DUTIES

  • Receive all initial appearance paperwork and enter all new cases into database.
  • File legal pleading with courts, process court papers according to court procedures.
  • Create files and ensure they are directed to the appropriate attorneys/staff for further handling.
  • Handle intake calls and walk-in clients that come into the office.
  • Schedule interviews, court hearings, meetings and attorney's calendar items, notify clients as directed.
  • Explain general court processes and procedures to clients.
  • Act as point of contact for clients with pending cases who need to check in periodically regarding court dates and charging decisions, to schedule appointments, court dates, and self-surrenders.
  • Explain basic processes to family members of clients.
  • Check on whether or not complaints and other documents have been filed in a timely manner.
  • Contact the jail and court staff to ensure release orders are completed timely.
  • Enter all charging decision information into database and ensure timely database upkeep.
  • Receive all disclosure and complete conflict checks on all witnesses/victims listed.
  • Make sure all assignments and reassignments made by supervisor are done correctly with database in order for events to appear correctly on attorney calendars.
  • Provide work support to intake attorney, to include scheduling appointments and contact visits at the jail and prepare pleadings and correspondence as necessary.
  • Assist the supervisor in court every Friday, which includes preparing files, calendar.
  • Speak with out-of-custody client to prepare them to appear in front of a judge with the supervisor.
  • Take notes during court and provide information to the attorney and/or court.
  • Close all case files upon disposition of the case and ensure accurate disposition information is entered.
  • Assign destruction dates (as defined by supervisor) to all closed cases.
  • Act as Administrative User for database (JustWare).
  • Act as back-up for Office Manager.
  • Provide Notary Public services as needed.

  • Maintain absolute confidentiality of work-related issues, customer records, and restricted County information.
  • Perform other related duties as required.

 

MINIMUM REQUIREMENTS TO PERFORM WORK

 

  • High school diploma or GED equivalent.
  • Three (3) years of administrative, customer service and computer experience.
  • Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.

 

KNOWLEDGE, SKILLS, AND ABILITIES

 

  • Knowledge of database system (Justware).
  • Ability to communicate effectively orally and in writing.
  • Ability to establish and maintain effective working relationships with employees, other agencies, and the public.

PHYSICAL DEMANDS:
The work is sedentary and requires exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The work also requires the ability to finger, handle, perform repetitive motion, hear, speak, and demonstrate mental and visual acuity.

WORK ENVIRONMENT:     
Work is performed in a safe and secure work environment that may periodically have unpredicted requirements or demands.

The hiring salary for this position is dependent upon experience, qualifications and position funding; starting salaries above the first quartile require additional approval.
